Before You Begin

Make sure you have the following information ready:

  • Your organization's legal name and business information
  • Contact details (address, phone, email)
  • Your company logo (recommended: 512x512 PNG)
  • Time zone and preferred language settings

Step 1: Access Organization Settings

  1. Log in to your UnicyFalcon dashboard
  2. Click on Settings in the sidebar
  3. Select Organization from the menu

Step 2: Configure Basic Information

Fill in your organization's details:

  • Organization Name: Your company's official name
  • Display Name: How your company appears to customers
  • Logo: Upload your company logo
  • Industry: Select your business sector

Step 3: Set Up Contact Information

Ensure customers can reach you:

  • Primary email address
  • Support phone number
  • Business address

Step 4: Configure Regional Settings

Inviting Team Members

Overview

Collaborate with your team by inviting them to your UnicyFalcon workspace. Each team member can have different roles and permissions based on their responsibilities.

How to Invite Team Members

Method 1: Email Invitation

  1. Go to Settings → Team
  2. Click the Invite Member button
  3. Enter the team member's email address
  4. Select their role (Admin, Manager, or Driver)
  5. Click Send Invitation

Method 2: Bulk Import

For larger teams, you can import multiple members at once:

  1. Download the CSV template
  2. Fill in team member details
  3. Upload the completed CSV file

Available Roles

Role Description Best For
Admin Full access to all features and settings Business owners, IT managers
Manager Manage orders, drivers, and reports Operations managers, supervisors
Dispatcher Create and assign deliveries Dispatch coordinators

Managing Pending Invitations

Track the status of your invitations:

  • Pending: Invitation sent, waiting for acceptance
  • Accepted: Team member has joined
  • Expired: Invitation expired (valid for 7 days)

⚠️ Note: Invitations expire after 7 days. You can resend an invitation if it expires.

Removing Team Members

To remove a team member:

  1. Go to Settings → Team
  2. Find the team member in the list
  3. Click the menu and select Remove
  4. Confirm the removal

📊 Manager

Operational oversight:

  • View and manage all orders

  • Manage drivers and vehicles

📦 Dispatcher

Day-to-day order management:

  • Create and edit orders
  • Assign deliveries to drivers
  • Track order status
  • Communicate with drivers

🚗 Driver

Delivery execution:

  • View assigned deliveries only
  • Update delivery status
  • Capture proof of delivery
  • Access navigation

First Delivery: End-to-End Flow

Step-by-step guide to complete your first delivery.

Overview

Congratulations on getting started with UnicyFalcon! This guide will walk you through creating and completing your first delivery from start to finish.

Prerequisites

Before your first delivery, ensure you have:

  • ✅ Set up your organization
  • ✅ Added at least one driver
  • ✅ Configured your service area

Step 1: Create the Order

  1. Click + New Order from the dashboard
  2. Enter customer information:
    • Name and contact details
    • Pickup address
    • Delivery address
  3. Add order details:
    • Package description
    • Size and weight (optional)
    • Special instructions
  4. Set delivery preferences:
    • Preferred delivery time
    • Priority level
  5. Click Create Order

Step 2: Assign a Driver

You have three options:

Option A: Auto-Assign

Let UnicyFalcon automatically select the best available driver based on location and workload.

Option B: Manual Assignment

  1. Open the order details
  2. Click Assign Driver
  3. Select a driver from the list
  4. Confirm the assignment

Option C: Dispatch Board

Use the visual dispatch board to drag and drop orders to drivers.

Step 3: Track the Delivery

Once assigned, track progress in real-time:

  • View driver location on the map
  • Receive status update notifications
  • Estimated time of arrival (ETA)

Step 4: Complete the Delivery

The driver completes these steps:

  1. Arrive at pickup location
  2. Mark as Picked Up
  3. Navigate to delivery address
  4. Capture proof of delivery:
    • Customer signature
    • Photo confirmation
    • Delivery notes
  5. Mark as Delivered

Step 5: Review and Confirm

After completion:

  • Review delivery details and timeline
  • Check proof of delivery photos
  • Send delivery confirmation to customer
  • Generate invoice if needed
